Eligibility
  • The competition is open to CAMA members only. If you’re not a member, please join one of our Chapters at www.cama.org. You’ll be glad you did!
  • Entries must have been produced for use between September 1, 2010 and August 31, 2011, except if you are entering a multi-year program in which results are cumulative, year over year.
  • Agriculture or value-added agriculture must be the focus of your entry. Value-added agriculture includes promotion of end-user products such as pasta, fruit, wines, cookies, ice-cream, ethanol, bio-diesel and other products where the raw ingredient comes from the farm.
  • Entry fees must accompany your entry and are non-refundable.
  • Material must be produced for Canadian audiences or produced by a Canadian organization for use in a foreign market.
  • The entry must include original material, not syndicated, borrowed, reprinted or stock material.
  • You may submit the same entry or parts of an entry, in as many different categories as apply. Submit an entry form and fee for each entry. Material must be submitted for each category.
  • If you're submitting French material in category other than category 11, you should fill the entry form in English. We also recommend that you provide an English translation of the material submitted.

 
Important
  • Entries must be submitted in the proper category, or they will be moved to the correct category by the Judging Committee.
  • We may combine, eliminate or divide categories, depending on the number of entries received.
  • Ties will be announced as ties.
  • We reserve the right to reproduce part or all of any submission to promote the CAMA Awards and the Canadian Agri-marketing Association.
  • We accept no liability for damage or loss of materials entered in the competion.


Deadline

All entries AND entry fees for the 2011 Best of CAMA competition must be received (not postmarked) before midnight (EST) on Friday, September 16, 2011.

Credit cards are accepted through PayPal.  (No personal PayPal account is required to make a payment.)

Steps to complete your online entry
  1. Complete the official entry form online.
  2. After completing the entry form, an entry ID number will be displayed on the website. If no entry ID number is showing, something went wrong. Please try again or ask for help.
  3. You will also get instructions on how to upload your material. Please follow those instructions. If you’re submitting more than one entry, you can upload all your material at the same time.
  4. You can also retrieve uploaded information by clicking on My account > File Management
  5. Make sure you’ve uploaded a file for every entry. Click on My account > File Management to know if we received a file for every entry.
  6. When you’ve uploaded all your entries, go to My account > My invoices. Prepare your invoice, print and send it along with your payment or call Mary Thornley at (519) 389-6552 to pay by credit card.
  7. CAMA must receive your payment before midnight (EST) on Friday, September 16, 2011.
Special Uploading Instructions
  • ZIP files are not accepted.
  • No directory upload. Only individual files accepted.
 
VISUALS (Print)
  • File format: PDF files preferred (JPEG files accepted as well)
  • Resolution (minimum): 180 dpi – 300 dpi
  • Size (minimum) for vertical or horizontal format: 1350 pixels or 7.5’’ (height); 2250 pixels or 7.5” (height)

To reduce the file size before uploading it, you will need Acrobat Professional:

  • Open the document in Acrobat Professional
  • In the top menu, click on Document and select Reduce File Size
  • Click on OK
 
AUDIO (i.e. Radio commercials, etc.)
File format: wav or mp3 file
 
VIDEO (i.e. TV commercials, educational videos, etc.)

WEBSITES

Create a shortcut:

  1. Go to the home page of the website you want to enter.
  2. Right click and select Create Shortcut.
  3. Save it to the desktop.
  4. Upload the saved file like any other files.
  5. For intranets or limited, secured access sites, provide instructions on how to register for the site in the entry form, along with an account name and password. If access is a barrier to evaluation or the site may change after submission, please submit a tour of the work sample that is five minutes or less on a CD.
 
Offline Categories


The following categories are to be submitted offline:

Category 1 – Integrated marketing campaign
Category 6C – Electronic media – Video or DVD targeted to external audiences
Category 7A – Point of purchase material
Category 7C – Promotional items
Category 8C – Product sales - Digital Presentation
Category 8E – Product sales – Electronic or interactive media

Steps to complete your offline entry:

  • Complete the entry form online.
  • Print 2 copies of your entry form. (One to attach to the back of the mounting board and one loose copy inside the mounting board.)
  • Upload a sample (PDF file) of your work on the BestofCAMA.com website. This sample will be used in the finalist presentation should you be selected so upload a file that represent your work well. See upload information by clicking on My account > File Management
  • To reduce the file size before uploading it, you will need Acrobat Professional:
  • Open the document in Acrobat Professional
  • In the top menu, click on Document and select Reduce File Size
  • Click on OK
  • Create a work sample on mounting boards:
  • The work sample must include the actual material that illustrates the elements of your entry such as publications, design work, writing, photography, digital media and supporting elements like an executive summary of the research results or the media buy. If your program was very large, your work sample should be representative of your work.

The following material should be submitted on a mounting board.

OUTBOUND ELECTRONIC

Supply printouts mounted to boards.


OVER-SIZED ITEMS
Submit 8” x 10” colour photographs and follow the instructions given for print entries. Over-sized material is anything excessively bulky or larger than 12 “x 19”. Indicate the size of item or photo.


PHOTOGRAPHY
Submit your entry in the context in which it was used. For print media, submit the spread or story in which the photograph appeared. A tear sheet is preferred. For photos used in displays or bulletin boards, or other cases where size is prohibitive), send an 8 by 10-inch (20.3 by 25.4-centimetre) photograph of the entire project and one close-up photo.
 

PRINT
Hinge campaigns together using accordion folds, so all material is visible from one side when unfolded. Please make sure all material bonds properly to all surfaces. Use spray adhesive if possible.
 

PROGRAMS AND CAMPAIGNS
Submit a complete, concise entry on the mounting board or in binder no larger than 1 ¼ inches.
Programs and campaigns may include a copy of the strategy, representative research, advertising or communication tools and the post-campaign evaluation.
Enclose representative samples of multiple program elements.
Submit color photographs no larger than 8” x 10”, or 20.3 by 25.4 centimetres of large or bulky samples such as bulletin boards, sculptures and heavy items.
 

WRITING SAMPLES
Provide a PDF of tear sheet or other evidence of use.
 

SAMPLE ENTRY ILLUSTRATION
Mounting board should be Bainbridge Letramax 4-ply (NOT foam core).

 
Front of Folder: Front is left blank
Back of Folder: Mount official entry form on back cover of folder
Inside of Folder with Campaign: Mount material inside folder. If mounting campaign, hinge folders together, end-to-end, so all material is visible from one side. For multi-page entries (brochures, publications, etc.), construct a pocket using clear acetate. Tape on three sides to hold and display the material
 
  • Once you’re done preparing all your entries, go to My account  My invoices. Prepare your invoice, print and send it along with your payment or call Mary Thornley at (519) 389-6552 to pay by credit card.
  • We must receive your payment before midnight (EST) on Friday, September 16, 2011.
 
Material Guidelines For OFFLINE Categories
The following instructions are for material submitted in OFFLINE categories only. If you’re submitting in an online category, please see above instructions. The following material should be submitted in a 9 x 12 envelope with the entry form on the outside, attached with spray adhesive. Do not seal the envelope.
 

AUDIO-VISUALS - 4 copies required (including the entry forms)
All audio-visual presentations must be submitted on a Windows-compatible CD. For Macromedia Flash supply an .exe file; for PowerPoint supply a .ppt file. Label CDs and include instructions on how to run applications and scripts if appropriate. For optimum viewing of audio-visual entries longer than three minutes, please index and supply a brief synopsis of the script, giving index references.

VIDEO OR TELEVISION - 4 copies required (including the entry form)
Submit entries on a Windows-compatible CD. Label CD or DVD and include script. Any of the following formats are acceptable:

Standard-Definition video
HiDef - BluRay DVD
HiDef - Quicktime H264 at 720p or 1080p

For optimum viewing of audio-visual entries longer than three minutes, please index and supply a brief synopsis of the script, giving index references.

CD/DVD - 4 copies required (including the entry forms)
Submit entries in digital form on a Windows-compatible CD and include any necessary instructions.

PUBLICATIONS
Submit three consecutive issues as one entry. For semi-annual publications, submit both issues. For annual publications, including annual reports, submit one issue. Indicate the frequency of the publication in your work plan.

RADIO - 4 copies required (including the entry form)
Submit radio entries on Windows-compatible CD in WAV or MP3 format. Label CD and include script.
